Import Salesforce reports

Set up the Salesforce app, import a report, and understand the 2,000-row limit, how refresh works, and what each error means.

Bring a Salesforce report into Golden and chart it next to the rest of your data. Golden imports the report's rows and refreshes them when you come back, so you get Salesforce's numbers without exporting a CSV every Monday.

Before you start (for your Salesforce admin)

Golden connects through an app you create in your own Salesforce org. The full steps are in Set up a warehouse connection. The parts that trip people up:

  • Scopes: add both "Manage user data via APIs (api)" and "Perform requests at any time (refresh_token, offline_access)". Without the second, the connection stops working after a couple of hours.
  • Callback URL: paste it exactly as the Golden dialog shows it.
  • External Client Apps also need "Enable Authorization Code and Credentials Flow" turned on.
  • Salesforce's defaults for Require Secret and PKCE work as they are.
  • If your org only lets admin-approved users into connected apps, pre-approve the app for the people who'll connect.
Note: Salesforce can take a few minutes to apply a new app. If the first sign-in fails right after you create it, wait and try again.

Import a report

  1. Connect Salesforce Reports from a space (Create, then Saved connection), sign in, and allow access.
  2. In "Import from <connection>", find your report with Search reports...
  3. Click Preview to see the columns and 10 sample rows.
  4. Click Import Report. Golden confirms how many rows it loaded.
Tip: Tabular reports import most reliably. If a summary or matrix report comes in empty, switch it to tabular in Salesforce (or save a tabular copy) and import that.

The 2,000-row limit

Salesforce's Reports API returns at most 2,000 detail rows per report. If your report is bigger, Golden imports the first 2,000 and tells you so. To get everything, add filters in Salesforce, for example one report per region or per quarter, and import each one.

What comes through

  • Detail rows and their columns. Grouping subtotals and grand totals don't come across; Golden recalculates totals from the rows.
  • Currency fields arrive as plain amounts, without the currency code.
  • Lookup fields arrive as the record's name, for example the account name rather than its ID.
  • Golden re-checks each column's type after import, so dates and numbers chart correctly.

How refresh works

  • Imported reports refresh when you reopen an analysis, at most once every 5 minutes.
  • Running a Salesforce report needs Editor access or higher on the connection. A viewer sees the last imported data.
  • If a refresh can't reach Salesforce, Golden keeps showing the saved data and tells you why.

Troubleshooting

What you seeWhat to do
Salesforce rejected the callback URL.Paste the callback URL from the Golden dialog into the app exactly, and turn on Authorization Code and Credentials Flow.
Your Salesforce app doesn't grant the permissions we need.Add both the api and refresh_token, offline_access scopes to the app, then reconnect.
Salesforce didn't recognize the Consumer Key or Secret.Copy both again from the app's Consumer Key and Secret page. They're easy to truncate.
Authorization was declined. If that wasn't deliberate, your Salesforce admin may need to pre-approve the app for you.
Salesforce session expired. Please reconnect your account.Reconnect the connection. Leave the key and secret blank to reuse the saved ones.
You don't have access to this resource. Contact your Salesforce admin.Your Salesforce user can't run that report. Ask your admin to share its folder with you.
This report no longer exists or has been moved.Someone deleted or moved the report. Import it again from its new location.
Salesforce API limit reached. Please try again later.Your org has used its daily API allowance. Try again later.
This report can no longer be refreshed, pick it again to reconnect it.Import the report again to relink it.
